The Art of Prompting: 5 Elements That Transform Your Results
Every GBP task in this post — writing your business description, drafting review responses, generating weekly posts, running a competitor analysis — works better when you know how to prompt AI effectively. CSUB intern Ranjeet Singh shared this five-element framework that applies to any AI tool. You don’t need all five every time, but the more you use, the better your results.

1. Role “Act as a marketing expert for a small restaurant” — sets the tone immediately. 2. Context “I run a café in a small California mountain town with local regulars” — gives AI something real to work with. 3. Task “Write a weekly special email I can send to my list” — be specific about what you actually want. |
4. Format “Give me three short paragraphs, friendly tone, under 150 words” — set guardrails for length and style. 5. Specificity The more detail you give about your business, your customer, and your tone — the more useful the result. The Problem
A small café owner in Kern County was scheduling staff based on memory and gut feeling — with no reliable way to know when the busy hours actually were.
The Solution
The CSUB SBDC AI team built a customized scheduling intelligence tool using three years of Square POS sales data. The tool shows hour-by-hour revenue and transaction volume for the same week across 2023, 2024, and 2025 — with a 🔥 icon automatically flagging peak hours at a glance. Smart filters remove large transactions (catering orders, invoices over $400) so staffing decisions are based on real walk-in business — not outliers.
How to Use It
Export a CSV from Square, Toast, or your POS system — one month at a time. Upload it, enter the week you want to schedule, and assign shifts directly in the tool. It’s designed to be simple enough to open on a Tuesday morning and have your schedule drafted before your coffee gets cold.
